January 15, 2009

Called to Order at 7:38am.

Recognition of Visitors:
        Don Chamberlin, Xavier University student and Evendale resident is here to observe the proceedings.

Additions to the Agenda: none

Motions to approve the November minutes made by Wayne Mosley; seconded by Pam Meyers. Motion approved.

New Business:
Jennifer Shapiro is the owner of Lifestyle Essentials and has 13 years experience.
·       Lifestyle Essentials manages existing establishments and new ones. They do personal training in their managed locations as well as peoples’ homes. Lifestyle Essentials has over fifty part-time and full-time personnel.
·       Stars of the Month and a few previous incentives will return for 2009. New items will include new incentive programs, monthly newsletter, and “try this” flyers which will be located in the fitness center.
·       The change over has gone smoothly; patrons have been most welcoming. Many of the instructors returned which has helped with the transition. All of the fitness classes have good numbers this session.
·       Stiney has noticed Lifestyle personnel have been out from behind the desk helping people and getting to know members. Assistance is free; but one-on-one weekly (personal) training has an additional cost; just as with the Tri-Health program.
·       David was mandated to lower the costs on the fitness center management contract so the company is there less hours, as per the RFP. The recreation staff is making more walk-throughs; plus an additional camera and an AED were installed.

Old Business:
·       Additional tennis courts have been placed on the capital items “B” list for 2009; however, council has placed this list as lowest priority. If monies are approved for the courts; the tennis court committee will meet again.
·       Sherwin Anderson is back this year to work with our basketball teams, coaches need to contact him to set up a time. Kristen has his contact information if a coach needs assistance.

Director’s Report:
·       SwimSafe Pool Management will return this year to operate our pool.
·       Evendale resident Howard Hughes has been hired, as a Building Specialist I, to maintain our indoor spa.
·       Jesse Hood is coaching a select team and will be using our field this year. David is willing to waive the field usage fee based on the number of Evendale kids Jesse has on the team. Wayne would like to know how a field has become available on a regular basis when last year he asked for a field for Alex’s team, and the fields were hardly available.
·       Because of the fitness management hours mandate change; the village’s insurance company recommended additional signage, a parental agreement for minors, and a participant agreement all be added.
·       Two members will be joining us in February; as of this meeting those members had not been appointed. (Note: Michele Gottschlich and John Doviak were appointed later that day at the village council meeting.)
·       Members should bring 2009 goals and objectives to the February meeting.

Phi Lambda Pi Report:
·       Gatlinburg ski trip is January 17th – 19th.
·       Phi’s 50th Anniversary will be celebrated July 25th.
·       This year’s eighth grade class is acclimating well and remains involved.

Open Discussion:
·       Trail Maps have not been updated to include the new fencing at Gorman Farm. David will talk to the farm staff about the fence’s impact on the trails. A new crosswalk has been installed on Cooper Road. This crosswalk is located in the bend on Cooper road; the village should consider adding speed humps to slow drivers down in this area; and maybe flashing lights.
·       2009 funded recreation projects include the AED for the fitness center, a replacement (Strantrol) chemical devise at the pool. A new roof and HVAC units/system are on the capital “A” list.
·       In 2010, David wants to replace the cardio equipment in the fitness center. He is considering a lease program since equipment styles and technology change frequently. Maintenance problems are also covered by these leases. Stiney suggests David also look at a replacement rotation programs where each year a certain number of older pieces are traded in or sold off and new pieces are brought in (the police department does this rotation with their cruisers).
·       Mary Beth Reese’s Zumba fitness class begins tonight. Eight people have pre-registered (twenty-five people attended the first night).
·       Roger Null, our Monday night yoga instructor, was complimented on his class and teaching.
·       Per Councilman Vonderhaar, The Evendale Cultural Arts Center has forty-five people enrolled in this session.
